Peak season exposes every weakness in your scheduling system. Here are the tactics companies use to handle 2x call volume without burning out their team.
Every field service company has a peak season. HVAC companies dread the first 90-degree week. Plumbers brace for winter freeze events. Landscapers scramble through spring. Roofers race through fall.
During peak, your phone rings twice as much, your techs are stretched, and the pressure to fit everyone in leads to bad decisions: overbooking, rushed jobs, exhausted techs, unhappy customers.
Here's how to manage it without those consequences.
The best time to prepare for peak season is before it starts. Two to four weeks ahead:
**Review your customer list:** Who had service last year during peak? Send them a proactive outreach: "We're heading into peak season — we have limited availability for tune-ups this month. Want to get on the schedule before we're fully booked?"
**Pre-book your capacity:** Fill 60–70% of your capacity for peak weeks before the season starts. Leave 30–40% for emergency and reactive calls.
**Brief your team:** Talk through the expectations, the surge pay if applicable, and how you'll handle the workload together. Teams that know what's coming handle it better than teams who are surprised.
Not every call is an emergency. When volume is high, qualify calls:
Communicate wait times honestly. "We have availability this Thursday" is better than overpromising and missing.
An exhausted tech is a liability — they make mistakes, miss things, and quit. During peak, watch for:
Short-term surge is manageable. Multi-week unsustainable pace costs you your best techs.
Look at last year's peak period. Which job types took the longest? Which areas of the city had the most calls? Which techs were most efficient? Use that data to route smarter, staff appropriately, and set realistic customer expectations.
For after-hours emergencies during peak, rotate on-call responsibility between techs with clear rules: what qualifies as a call-out, what the pay premium is, and what the response time expectation is. Teams that feel the on-call burden is fairly distributed handle it with far less resentment.
