How to Stop Chasing Payments and Get Paid on Time

Chasing payments is one of the most demoralizing things about running a service business. Here's a system that eliminates most late payments before they happen.

Nobody Wants to Chase Payments

It's awkward. It's time-consuming. It can damage customer relationships. And it happens because payment friction isn't built into the initial transaction.

The goal is to design your payment process so that payment is the natural, easy next step — not an afterthought.

Fix the Friction Points

**Before the job:** Get a credit card on file for new customers. Frame it professionally: "We take a card on file to streamline checkout — just like a hotel." Most customers understand and accept this.

**At job completion:** Send the invoice before you leave the property. "I just sent you the invoice — do you want to pay by card while I'm here or would you prefer the link in the email?" Make the on-site card option easy.

**In the invoice:** Include a clear, prominent Pay Now button that works on mobile. Invoices that require logging in, downloading a PDF, or mailing a check get paid later — or not at all.

The Auto-Reminder System

Set up automatic payment reminders that go out without you having to think about them:

  • **Day 1:** Invoice sent with friendly message
  • **Day 4:** First reminder: "Just checking — everything go okay with the service today? Invoice is attached when you're ready."
  • **Day 8:** Second reminder: "Following up on your invoice — want to pay by card over the phone? Just call us."
  • **Day 14:** Final reminder: "Invoice is now 14 days past due. Please pay or contact us if there's an issue."

This escalation feels natural and not aggressive, and it handles most slow payers without a single manual call.

When to Stop Services

For commercial clients or repeat customers with a pattern of late payment, a clear credit policy helps: "Outstanding invoices over 30 days may result in suspension of scheduled services." Enforce it consistently. Clients who know you're serious pay faster.

The Disputed Invoice

When a customer disputes an invoice, respond quickly and professionally. Ask for specifics: what exactly are they disputing? In most cases, disputes are about communication failures, not fraud — the customer didn't understand what they were paying for. Good job notes and checklists resolve most disputes immediately.

For genuine disputes, a small discount to close the issue is often the right business decision. The cost of the discount is almost always less than the cost of pursuing the full amount.

The Result

Companies that implement this system report 70–80% of invoices paid within 7 days. For a company doing $500K annually, moving from 21-day average to 7-day average frees up roughly $19,000 in working capital permanently.
